Role and responsibilities

We are seeking a highly organized and detail-oriented Remote Assistant to provide light bookkeeping support using QuickBooks, along with executive assistance tasks. The ideal candidate will be responsible for handling invoicing, payment processing, and communicating with clients to ensure timely payments. In addition, this role will involve performing small administrative tasks to support executive-level staff.

Key Responsibilities:

  • Bookkeeping & Invoicing:
    • Prepare and send invoices using QuickBooks.
    • Track and close out payments, ensuring accuracy and timely processing.
    • Communicate with clients to follow up on outstanding payments.
    • Maintain accurate and up-to-date financial records.
  • Executive Assistance:
    • Assist with scheduling appointments and managing calendars.
    • Handle email correspondence and organize documents.
    • Conduct research and prepare reports or presentations as needed.
    • Perform other small administrative tasks to support executives.

Qualifications:

  • Experience with QuickBooks (invoicing, payment tracking).
  • Strong organizational and time-management skills.
  • Ability to communicate professionally with clients and team members.
  • Proficient in Microsoft Office or Google Workspace (Docs, Sheets, Calendar).
  • High attention to detail and ability to manage multiple tasks efficiently.

Preferred Qualifications:

  • Previous experience as a virtual assistant or in a bookkeeping role.
  • Familiarity with remote work tools such as Zoom, Slack, or Trello.

Work Schedule:

  • Flexible hours; approximately 10-20 hours per week, with the potential for more as business needs grow.

Compensation:

Competitive hourly rate based on experience.
